Acknowledge, then slow the pace
Acknowledge the notice promptly and professionally, then take control of the timeline. Speed favors the vendor, because a rushed response concedes facts before they have been checked. A measured pace, set by you and consistent with the contract, favors the buyer because it leaves room to validate everything before anything is accepted.
Do not treat the notice as an emergency that demands instant data. Treat it as the opening of a process you are entitled to run carefully.
Control the channel
Name a single point of contact and route every communication through that person. Audit teams often try to open side channels with IT staff who may concede deployment facts without commercial context. Close those channels politely but firmly, so that every statement to Adobe is considered and consistent.
Brief your internal teams that information requests come to the single contact, not directly to them, and that nobody confirms numbers in a hallway conversation or an offhand email.
Read the clause before you hand over anything
Read the audit clause in your agreement so you know exactly what Adobe is entitled to ask for, in what form, and on what notice. Provide only what the contract requires, on a defined schedule, and keep your own copy of everything you hand over. Anything beyond the contractual scope is a request you can decline or negotiate, not an obligation.
A disciplined opening response, acknowledged, paced, channeled and scoped, shapes the entire engagement and tells Adobe it is dealing with a buyer who knows the rules.
