Why device licensing drifts

Device licenses cover a machine rather than a person, which suits labs, classrooms, shared workstations and production floors. The trouble is that machines get reimaged, moved, retired and replaced constantly, while the license records rarely keep pace. A device entitlement assigned to a machine that no longer exists, or a new machine running on no entitlement at all, is drift that compounds invisibly.

The named user controls most teams rely on do not apply here, so device estates often sit outside the usual reconciliation entirely and accumulate exposure no one is watching.

Where the exposure builds

Exposure builds when shared device deployments exceed their entitled count, when device licenses are mixed with named user access on the same machines, and when reimaging detaches entitlements from the hardware they were assigned to. Education and public sector estates are especially prone, because device deployment is heavy and refresh cycles move many machines at once.

Because the unit cost can look small, device drift is easy to ignore until a true up or a review counts the whole estate and the aggregate number lands.

The buyer side moves

Inventory the device estate against its entitlements, reconcile reimaged and retired machines so entitlements follow the hardware, and keep device and named user deployments cleanly separated so each is counted under the right model. Reclaim entitlements stranded on machines that are gone, and put a simple policy around how device licenses are assigned and tracked.

Treat the device estate with the same discipline as named user licensing. The per device cost may be modest, but the aggregate exposure across a drifting estate is exactly what a true up is designed to capture.
