Building an Adobe cost reduction business case

A savings idea only moves when finance can see it on a page. Build the business case well and the Adobe optimization work funds itself many times over.

Start from the current run rate

Every credible business case begins with an honest baseline. Pull the total Adobe spend across every order form, true up, and add on, then break it down by product and by business unit. Most organizations are surprised by the full number because the cost is scattered across teams and renewal dates, and no one ever totals it.

With the baseline in hand, name the waste. Idle seats, overlapping products, and committed volume you never consume are the line items finance will recognize as recoverable. Quantify each one so the case rests on figures, not adjectives.

Frame savings against the cost of doing nothing

Finance approves change when the status quo looks more expensive than acting. Show what the spend becomes at the next renewal if nothing is done, including the standard uplift Adobe will seek. That projected number is the real comparison point, not last year's invoice, and it makes the savings opportunity larger and more urgent.

Pair the upside with the effort required. When the recoverable spend dwarfs the hours to reclaim it, and the optimization work can run on a success fee so there is no savings no fee, the approval becomes straightforward.

Make the case easy to say yes to

Package the case in the language each stakeholder cares about. Finance wants the run rate impact, IT wants assurance that no one loses access they need, and procurement wants a cleaner renewal. Address all three on one page and you remove the objections before they are raised.

Close with a phased plan that books early wins first. Reclaiming obvious shelfware before the next renewal proves the model quickly and builds the credibility to pursue the larger structural savings.
