Keep an accurate entitlement record

Everything starts with knowing exactly what you own. Maintain a single source of truth that maps every Adobe entitlement to a user, a device, a cost center, and a contract line. Reconcile it against the admin console regularly, because the gap between what you bought and what is deployed is where both savings and compliance risk live.

An accurate record is also the fastest way to respond if Adobe ever opens a compliance review.

Track usage, not just assignment

Assignment tells you who has a license. Usage tells you who needs one. Pull activity data on a regular cadence and flag any seat that has been dormant for ninety days as a candidate for reclamation. Make this a routine report rather than a special project, so dormant seats never accumulate.

Right size entitlements to roles

Review whether each user is on the correct tier. Full suites assigned to people who use a single application are a common and easy saving. Build a simple role to entitlement map and check new requests against it, so the estate stays matched to actual need as people join and move.

Watch the contract calendar

Know your renewal date, your true up date, and your renewal notice window well in advance. The single biggest source of weak negotiation is running out of time. Put these dates in a shared calendar and start renewal preparation months ahead, not weeks.

Track committed quantities against deployment throughout the year so a true up never arrives as a surprise.

Govern new requests at the source

Most estate bloat enters through unmanaged provisioning. Put a light approval step on new Adobe seats, tie each request to a cost center, and reuse reclaimed licenses before buying new ones. Governance at the point of request prevents far more waste than any clean up after the fact.
