What reconciliation actually means
Reconciliation is the act of lining up three numbers that rarely match on their own: what you have contracted for, what you have deployed, and what people actually use. The contract says one thing, the Admin Console says another, and active usage says a third. The gaps between them are where both your risk and your savings sit.
Adobe sees its version of two of those numbers. You are the only party who can see all three together, which is exactly why doing the work yourself is leverage rather than housekeeping.
Build the reconciled position
Pull entitlements from your agreements, deployment data from the Admin Console and your software management tooling, and active usage from sign on logs and product telemetry. Net dormant seats against any genuine net new need, and resolve duplicates created by reorganizations and acquisitions. The output is a single defensible license position you can stand behind.
That position tells you two things at once. It shows where you are over licensed and can true down, and it shows any genuine shortfall you would rather find yourself than have surfaced in an audit.
Use the reconciled position as leverage
Walk into the renewal with the reconciled number, not the historical commitment. Reclaim the dormant seats before the count is set, address any genuine gap on your own terms rather than under audit pressure, and benchmark the right sized quantity against comparable buyers. A clean position turns a defensive true up into a planned negotiation.
Keep the reconciliation current between renewals so the estate never drifts far enough to fund a surprise. A position measured continuously is a position Adobe cannot use against you.
